About The Role
We are seeking a highly organized and proactive Project Coordinator (Software Development) to join our dynamic Engineering team. In this role, you will serve as a vital link between the development teams, management, and other stakeholders. Your primary responsibility will be to ensure that software development projects are well-coordinated, progress is tracked diligently, and processes are adhered to consistently. This position emphasizes project management, process compliance, reporting, and maintaining project visibility rather than direct software development. You will work closely with the CTO, software developers, QA teams, product managers, and support staff to facilitate smooth project execution and foster a collaborative environment.
Qualifications
The ideal candidate should possess a bachelor's degree in Engineering, Information Technology, Computer Science, Business Administration, or a related field. A minimum of 2 to 5 years of experience in project coordination, delivery management, or similar roles within software or technology teams is essential. Experience with ticket management or project management systems, whether proprietary or in-house, is highly desirable. Candidates should demonstrate strong organizational and follow-up skills, excellent communication and interpersonal abilities, and the capacity to manage multiple priorities in a fast-paced environment. Proficiency in reporting tools such as MicrosoftExcel or Google Sheets is required. A solid understanding of the Software Development Life Cycle (SDLC) and familiarity with Agile methodologies will be advantageous.
Responsibilities
Project Coordination: Manage daily activities across the software development teams, track project progress, and ensure timely delivery of milestones. Follow up with developers on pending tasks and upcoming deadlines, escalating issues to management when necessary. Maintain alignment with project timelines and strategic priorities.
Ticket & Task Management: Oversee Kayana's internal ticketing system, ensuring each ticket has an assigned owner, priority level, and target completion date. Keep ticket statuses current through regular follow-ups, document work thoroughly upon completion, and escalate overdue or inactive tickets to appropriate stakeholders. Maintain organized and clean project boards for clarity and efficiency.
Process Compliance: Monitor adherence to established development workflows, track action items from meetings, and ensure timely completion. Identify gaps in processes and recommend improvements to optimize workflows and increase efficiency.
Reporting: Prepare and present daily and weekly status reports highlighting project progress, open and closed tickets, overdue tasks, blocked items, team workload, and delivery timelines. Maintain dashboards and trackers for visibility and strategic decision-making.
Communication & Coordination: Facilitate effective communication between development, QA, product, support, and management teams. Schedule and coordinate meetings, including stand-ups and planning sessions, record minutes, and monitor the completion of action items. Ensure that priorities and deadlines are clearly communicated across teams.
Documentation: Maintain comprehensive project documentation, trackers, and records. Support ongoing process improvements by ensuring documentation remains current and accessible.
