About The Role

We are seeking a highly organized and proactive Project Coordinator (Software Development) to join our engineering team. In this pivotal role, you will work closely with senior leadership, including the CTO, as well as software developers, QA teams, product managers, and other stakeholders. Your primary responsibility will be to ensure that software development projects are well-coordinated, progress is tracked accurately, and processes are adhered to consistently. This role focuses on project management, process compliance, reporting, and maintaining visibility across ongoing initiatives. The ideal candidate will excel in managing multiple priorities in a fast-paced environment, ensuring that project deliverables are met on time and within scope, while facilitating effective communication among cross-functional teams.

Qualifications

Candidates should possess a bachelor's degree in Engineering, Information Technology, Computer Science, Business Administration, or a related field. A minimum of 2 to 5 years of experience in a project coordination role within software development, IT, or technology-driven environments is required. Prior experience with ticket management systems, project management tools, or proprietary platforms is advantageous. The candidate must demonstrate strong organizational skills, exceptional attention to detail, and the ability to follow up diligently on tasks and deadlines. Excellent communication and interpersonal skills are essential for effective collaboration with diverse teams. Additionally, familiarity with the Software Development Life Cycle (SDLC) and Agile methodologies will be considered a plus. Proficiency in reporting tools such as Microsoft Excel or Google Sheets is necessary to generate and analyze project data effectively.

Responsibilities

Project Coordination

  • Coordinate daily activities across the software development team, ensuring smooth workflow and task allocation.
  • Monitor project progress, track milestones, and ensure timely delivery of all deliverables.
  • Follow up with developers and team members on pending tasks, upcoming deadlines, and potential delays.
  • Escalate project risks, blockers, or delays to the CTO or senior management for prompt resolution.
  • Maintain alignment with project timelines, priorities, and organizational goals.

Ticket & Task Management

  • Oversee and maintain the integrity of Kayana's internal ticket management system, ensuring accuracy and completeness.
  • Assign ownership, set priorities, and define target completion dates for tickets and tasks.
  • Regularly follow up with team members to update ticket statuses and ensure proper documentation of completed work.
  • Identify overdue or inactive tickets, escalating issues as necessary to prevent bottlenecks.
  • Keep project boards clean, organized, and reflective of current project statuses.

Process Compliance

  • Ensure adherence to established development workflows and internal processes within the software team.
  • Track action items from meetings, ensuring their timely completion.
  • Monitor compliance with project management standards and identify areas for process improvement.
  • Recommend and implement enhancements to streamline workflows and increase efficiency.

Reporting

  • Prepare daily and weekly status reports on engineering activities, project progress, and team performance.
  • Maintain comprehensive project trackers and dashboards for visibility to management.
  • Report on key metrics such as open and closed tickets, overdue tasks, blocked items, team workload, and delivery timelines.

Communication & Coordination

  • Facilitate effective communication among Development, QA, Product, Support, and Management teams.
  • Schedule and coordinate project meetings, stand-ups, planning sessions, and follow-up discussions.
  • Record meeting minutes and monitor the completion of action items assigned during meetings.
  • Ensure clarity of priorities, expectations, and deadlines across all teams involved.

Documentation

  • Maintain accurate and up-to-date project documentation, trackers, and records.
  • Support continuous improvement initiatives by documenting lessons learned and process adjustments.
  • Ensure that project records are complete, organized, and accessible for audits and reviews.
